MobileTutors is a UK-based online tutoring platform providing structured, affordable academic support from just £5 per lesson - trusted by thousands of families for KS2, KS3, GCSE, and A-Level success. From a Grade 3 to a Grade 8. From failing Maths to a Grade 9. From a C to an A at A-Level and a Cambridge offer. The results speak for themselves.
As the business expanded, managing students, tutors, classes, subscriptions, homework, progress reporting, and parent communication through manual and disconnected processes became a serious operational bottleneck. Infynno Solutions designed and built the complete platform - four dedicated portals for students, parents, tutors, and admins - bringing every aspect of the tutoring operation into a single, scalable digital ecosystem with Zoom integration, Stripe billing, AI-powered reporting, and automated workflows throughout.
The challenge they faced
Scaling an online tutoring business requires solving operational challenges that no single off-the-shelf tool handles end-to-end - across students, parents, tutors, and administrators, each with different workflows, billing complexity, and visibility needs.
Manual Operations Across Four Stakeholder Types
Students, parents, tutors, and administrators all had different needs, workflows, and visibility requirements. Managing all four through manual processes - spreadsheets, email chains, and disconnected scheduling tools - created significant administrative overhead and limited the business's ability to scale.
Complex Subscription & Enrollment Management
Tutoring subscriptions are more complex than standard SaaS billing. Multiple registration journeys (in-app, checkout, shop, external Stripe), subject-based plans, session counts, renewal management, and child-specific filtering for parents all needed to work together seamlessly.
Class Scheduling & Tutor Coordination
Coordinating group classes across multiple subjects, tutors, and student cohorts - including timetable management, attendance tracking, tutor replacements, and session resources - required a purpose-built scheduling system, not a generic calendar tool.
Homework & Academic Progress Visibility
Parents investing in tutoring want to see results. Providing meaningful visibility into homework completion, session attendance, completed topics, and academic progress - without adding friction to the student or tutor experience - required careful product design across all portals.
Progress Report Quality at Scale
Tutors submitting written progress reports vary in their writing quality, clarity, and consistency. Before reports reach parents, they needed a quality review and enhancement process - one that scales without requiring excessive admin time.
Tutor Settlement & Payroll Complexity
Calculating tutor earnings based on session-based pricing, generating invoices, tracking payment statuses, and managing settlement summaries across a growing tutor roster required a dedicated financial management system.
Live Class Attendance Without Manual Tracking
Manually recording attendance across dozens of Zoom sessions per week was error-prone and time-consuming. Automatic attendance tracking based on Zoom participation was essential for accurate reporting and payroll.
Multi-Flow Onboarding for Different Entry Points
Students and parents arrive through different channels - direct registration, checkout, the shop, or external Stripe links. Each journey needed to result in correctly configured accounts, linked parent-child relationships, and active subscriptions without manual intervention.
How we solved it
Four Dedicated Portals, One Ecosystem
We designed the platform around four purpose-built portals - Student, Parent, Tutor, and Admin - each reflecting its user's specific workflow, while sharing a single underlying data model. A student's session completion updates the tutor's attendance record, feeds the parent's progress view, and triggers the admin's settlement calculation - automatically.
Flexible Subscription & Multi-Flow Registration
We built a comprehensive subscription engine supporting four distinct registration journeys: In-App Registration, Checkout Registration, Shop Registration, and External Stripe Onboarding. Each flow correctly provisions the student account, links parent-child relationships, and activates subject-based subscription plans. Parents can manage multiple children with child-based filtering across all subscription views.
Zoom-Integrated Automatic Attendance
We integrated the Zoom API to automatically track student attendance based on actual meeting participation - eliminating manual attendance recording entirely. Attendance data feeds directly into session records, tutor reports, and admin dashboards in real time.
AI-Powered Progress Report Enhancement
We integrated AI into the admin's report management workflow. Tutors submit progress reports; admins review them through an AI-assisted enhancement system that improves report quality, readability, and consistency before approval and publication to parents. This maintains a consistently high standard of parent communication without requiring manual rewriting at scale.
Multi-Stage Tutor Onboarding
The admin platform tracks tutors through a structured approval pipeline: Just Registered → Interviewed → Approved → Verified → Inactive → Rejected. Each stage has its own visibility and actions, giving the operations team complete control over tutor quality before any student interaction.
Tutor Settlement & Payroll System
We built a dedicated settlement system covering session-based pricing, invoice generation, settlement summaries, payment status tracking, and tutor-facing earnings dashboards. Tutors have full visibility into their expected and received earnings without needing to contact admin.
Homework & Resource Management
Tutors create homework assignments with titles, instructions, attachments, types, schedule dates, and due dates - all visible to students and parents within their respective portals. Learning resources are uploaded and organized per class, making every session's materials permanently accessible.
Real-Time Chat Across All Portals
An integrated chat system supports real-time communication between admins, tutors, parents, and students for both academic and operational coordination - replacing email chains for day-to-day queries.
Centralized Admin Operations
The admin panel covers every operational need: user onboarding and management, class creation and scheduling, tutor assignment and replacement, attendance monitoring, AI report enhancement and approval, settlement and payroll management, subscription management, bulk email communication, announcements, and feedback handling.
